When you purchase flights or access your personal profile online you can do so through a secure server. The use of Secure Socket Layer (SSL) technology means that all personal information, such as your credit card number, will be encrypted as it travels from your computer or mobile device to the Aer Lingus Online Booking Engine. When received, the information is decrypted and processed in the same way as a normal credit card transaction by telephone.

If your browser supports SSL, and if you entered our website via our secure server access, then transmission of any sensitive data will be protected. If your browser does not support SSL, we recommend that you upgrade to the latest version of any browser to enhance the security of further transactions, otherwise the transmission of your personal data may not be protected and Aer Lingus disclaims any responsibility in this regard.

When you make a booking you will be given a booking reference (also known as a PNR or Passenger Name Record). This will appear on the email confirmation or ticket of each person in your booking. You should keep your booking reference confidential at all times. Giving your booking reference to others may allow them to access your booking details through our system.

We collect personal information about you whenever you use our services (whether services provided directly by us or by other companies or agents acting on our behalf), when you travel with us, when you use our website, call centre or mobile apps to book a flight. We do not collect personal information about you when you browse the Aer Lingus website or mobile apps without commencing the booking process. However, if you wish to book a flight using the website or the mobile apps's interactive services, we will require you to complete the Booking Form and provide us with certain information which may include the following:

  • Name
  • Postal Address
  • Credit/Debit Card number and expiration date
  • Billing address
  • Phone numbers
  • Email address

If you make a booking with us, we also collect information about you, how you use our services, your travel patterns and preferences (including your purchase history), which is used to send you personalised marketing communications and to develop our relationship with you including as follows:

  • to fulfil your travel arrangements and deliver the services you have asked for
  • to provide services tailored to your requirements and to treat you more personally (e.g. to deliver messages and information that we think is relevant and may be of interest to you, prior to, during, and after your travel with us or to personalise the services, content and offers on our websites and other sales and servicing channels)
  • to send you "service" communications
  • to support other administrative purposes
  • to provide you with relevant marketing communications

This does not affect your right to opt out of receiving such communications.

Even if you have opted-out of receiving marketing information from us, we may still send you communications about the services you have booked to use, such as your travel itinerary. These communications will help you get the most from the services we provide and may also contain options and offers about the services you will be using. We may also send you communications about the services you have previously used, for example, where you experienced some form of issue or problem and we wish to contact you about it proactively in order to resolve it.

In order to help us provide you with the best possible service, you may also choose to become a Site Member. Site Membership will save you time when you book a ticket in future by pre-filling your personal details in the online booking section. Without limiting the above we may also send Site Members information on services and special offers which we think they may find of interest. Site Members will also be asked to provide us with certain information by completing the User Profile. The insertion of User Profile information is optional and may include:

  • Preferred/frequent destinations
  • Details of travelling companions including names, dates of birth, passport details
  • Home airport
  • Opportunity to avail of email notification of special offers
  • Seat and meal preference
  • Preferred class of service
  • Age Group
  • Credit/Debit Card Details

Site Members may also join our frequent flyer programme online by completing the required form in the My Profile section of the website or mobile apps which may also involve providing the above information.

To help us develop the design and layout of the website we use tracking software to monitor site usage including customer traffic patterns. This software does not enable us to capture any personal passenger information.

When you access and update your User Profile, you enable us to optimise your time spent on the Aer Lingus website or mobile apps. Through the use of profile information provided we are able to personalise your website visit or mobile app experience, ensuring that we can communicate details of special offers and other travel information that may interest you during your web visit. If you are also a Gold Circle Club Member, you will be able to check your Gold Circle points balance and find out additional information about your Gold Circle membership. It will also save you time when you book a ticket by pre-filling the online booking section. If you wish, we can also send you directly information which we think you may find of interest such as information about services, products, special offers and promotions offered by Aer Lingus, other carriers and service providers. Your travel history may at your option be displayed when you log in.

Aer Lingus will limit the collection of your information to that which is reasonable and necessary (having regard to the processing of that data that was carried out) and all personal data received by Aer Lingus will be retained only for as long as is necessary for the purposes for which it was obtained after which point it will be deleted or de-indentified.

We use your personal information to provide the travel and other services you have asked us to provide, to send you information to identify you as a customer, to process your booking, to verify credit or other charge card details, to manage your Gold Circle Club Frequent Flyer Account (if applicable) and to deliver relevant information to you in connection with your travel and any ancillary services which you may wish to avail of. Your information may be used for immigration and customs control (see further below), security, administrative and legal purposes, statistical and marketing analysis, customer surveys and customer relations purposes, and to assist in any future dealings we may have with you by identifying your requirements and preferences. Your information may also be used for quality control and training purposes, collecting debts and managing or transferring assets in a merger or acquisition. If you commence but do not complete your booking your e-mail address may be used to send you information related to your booking or about your search.

We may use your personal information to contact you via email with information in relation to flight promotions and ancillary products and you will be afforded the facility (at the time of booking and upon receipt of such emails) to opt out of receiving such communications.

For the purposes stated in this paragraph 4, we may share or transmit your personal information to our own offices, other companies within the Aer Lingus group, Aer Lingus's partner airlines and franchisees, authorised agents, other carriers and service providers, credit and charge card companies, our partners in loyalty schemes and customer programmes that you have joined, credit reference and screening service providers, data processing companies working on our behalf, customs and immigration authorities of any country in your itinerary, as described in Section 5, and to government and enforcement agencies. Some of these entities may be located outside the European Economic Area. Your personal information and any records relating to your air travel will also be retained for audit functions.

We may also use the personal information of Site Members to provide them with information which we think they may find of interest. This may include information about services, products, special offers and promotions offered by Aer Lingus, other carriers and service providers. We may contact you by any means of communication for which you've given us contact details, including by post, email, pop-up window, fax and telephone. However, you may choose not to receive such information by so indicating on the booking form or on the Site Membership Information form.

Sensitive personal data is defined in the Data Protection Acts as including certain categories of personal information, such as that about race, ethnicity, religion or health. On occasion you may provide Aer Lingus with sensitive personal data because you have requested specific medical assistance from us and/or an airport operator, such as the provision of wheelchair assistance or oxygen or you have sought clearance from us to fly with a medical condition or because you are more than 28 weeks pregnant or you have otherwise chosen to provide such information to us (or a third party such as the travel agent through which you made your booking).

Many governments around the world require some passport and travel information from airlines about the people flying into their country. When required, Aer Lingus will provide this information to the relevant customs and immigration authorities. This information includes information held in the machine-readable zone (MRZ) of your passport (passport number, country of issue, passport expiry date, given names, last name, gender and date of birth) together with other information which is not held in the MRZ of your passport (country of residence, citizenship, alien registration card number, destination address in the USA).

In addition, under U.S. Law, U.S. Customs and Border Protection (CBP) will receive certain travel and reservation information, known as Passenger Name Record or PNR data, about passengers flying between the European Union and the U.S. CBP has undertaken that it uses this PNR data for the purposes of preventing and combating terrorism and other transnational serious crimes. The PNR may include information provided during the booking process or held by airlines or travel agents. The information will be retained for at least three years and six months and may be shared with other authorities.

When you visit our website, we may collect and process information about your website usage (e.g. your browsing history and information about your navigation through our website) using ¿cookies¿ and other similar technologies. When you use our website and mobile apps we collect information about your location based on your IP address. An IP address (i.e.an Internet Protocol address) is a numeric code that can act as a unique identifier for your computer or other access device and can be used to indicate the country from which you are accessing the relevant website or application. Knowing the country you are likely to be in enables us to provide more relevant content and do so in an appropriate language. We also use this information to analyse how our website users interact with our websites. If we have your permission to do so, we may also use the functionality on your mobile device (such as Bluetooth and GPS) and/or information based on Wi-Fi and/or mobile phone mast locations to determine your approximate location so that we may provide you with more relevant content and services. We only do this where you have provided your consent to the use of location data, which may typically be provided (or withdrawn) by adjusting the settings of your mobile device.

You may access and update the information which we hold about you as a Site Member or a Gold Circle Club Member by signing in and accessing the relevant page in the My Profile section of the website.

If you are not a Site Member or a Gold Circle Club Member, you may on request receive a copy of your personal data held by Aer Lingus, subject to payment of a fee of €6.35, by writing to: Data Protection c/o Customer Relations, Aer Lingus, Dublin Airport, Co Dublin, Ireland. You will receive a Customer Access Request Form (Request for Personal Data). Please complete, sign and date the Access Request Form and return to Aer Lingus as indicated therein. You must provide a photocopy of your proof of identity (a photocopy of your passport or driving licence) and proof of address with the Access Request Form so that we can verify your identity. You must also provide a cheque or postal money order payable to Aer Lingus Limited to the amount of €6.35.
